Preschool Asset Management

From playground to classroom, know what your school owns.

Toys, furniture and equipment help little learners thrive. Koonection gives your preschool a central asset register with photos, locations and a history of changes, so it is easier to look after the things your school depends on.

Made for South African preschools, creches and ECD centres.

A practical routine

How it works at your school

Simple steps that fit around the busy business of caring for children.

  1. 01

    Build your school’s register

Add equipment and other assets with a photo, asset number, location, condition and funding source. Use your school’s own asset number prefix.

  2. 02

    Follow each asset’s story

Update condition and location as things change. Take an asset out of service and return it later, with a history of changes kept in its audit trail.

  3. 03

    Plan around important dates

Record warranties and, for vehicles, licence disc dates. See items due within 60 days, while administrators receive an email digest of upcoming expiries.

The helpful details

Built around real preschool life

Keep proof of purchase nearby

Attach the purchase invoice or receipt to the asset, so the school can find the supporting record when reviewing a warranty or funding declaration.

Prepare records for review

Export the register as CSV or a PDF laid out to support funding audits and declarations. Disposed assets stay in the record with their disposal history.

Update the register on the go

Administrators and clerks can add assets with photos and update condition and location through the app. An administrator enables Assets under Settings, Finances.

A few good questions

About preschool asset management

What can I keep in the preschool asset register?

You can record school equipment and other assets with their description, photo, number, funding source, location and condition. You can also attach a purchase invoice or receipt and record relevant warranty dates.

Does Koonection help with asset records for funding audits?

Yes. The asset register keeps supporting information and a history of changes, with PDF and CSV exports to support funding audits and declarations. Your school should check the records against its funder’s requirements.

What happens when an asset is no longer in use?

An administrator or clerk can take an asset out of service and return it later. An administrator can formally mark it disposed through the dashboard. Disposed assets remain in the register with their history rather than being deleted.

Can we add and update assets from the app?

Yes. With Assets enabled, administrators and clerks can add an asset with a photo, view its details, and update its condition and location in the Koonection app. Formal disposal is handled in the dashboard.
